In this list, I have gathered lesser-known but extremely useful tools that can be used both at work and in private life.

Every day, I use apps that boost productivity, save time, and make it easier to complete everyday tasks. I have recommended most of these tools to friends and colleagues many times, so I decided to create a short, consolidated list so I can conveniently share them all in a single link.

I described their specific functions, advantages, and potential limitations to make it easier to decide whether they are worth implementing in your processes. These are practical solutions that can bring tangible benefits in many areas.

Perplexity: A Powerful Research Tool – An AI-Powered Search Engine

Looking for a tool that will significantly streamline your work with data? Meet Perplexity—an advanced search engine powered by artificial intelligence. Importantly, you can try it without having to create an account. If you decide to register, you’ll get unlimited access to standard searches (within reason, of course) as well as 3 pro searches.

However, Perplexity’s capabilities do not end there. The tool also offers a dedicated model (or plugin) that can be integrated with ChatGPT.

What about ChatGPT itself? It has had access to the internet for quite some time—and that is also available in the free version. With the right prompts, you can significantly expand its functionality. However, if simplicity and convenience are what matter to you, Perplexity will simply be the better choice.

Currently, Grok (available through the x.com portal, formerly Twitter) and Google Gemini offer similar functionality. Additionally, ChatGPT also has a deep research feature in its paid version, which works best of all the available options.

Claude AI – the main alternative to ChatGPT

Claude AI is often cited as a worthy rival to ChatGPT. Many people believe that its free version outperforms the free version of ChatGPT, and in many respects it can even compete with the paid ChatGPT 4.0 model (although it must be admitted that the o1 model remains the leader).

Such an alternative can be extremely useful, especially in situations when ChatGPT is unavailable. If you use ChatGPT regularly, there is a good chance that once a month you will encounter a time when, due to an outage, the service does not work for an hour or two.

What sets Claude AI apart? Above all, its writing style—it is more human and natural, which can be helpful when it is difficult to achieve the desired result in ChatGPT. Another advantage is its different interface, which many users may find more intuitive and pleasant to use.

Claude AI enables file uploads, making it a practical tool for working with documents.

Its drawback is the lack of access to the Internet, plugins, and assistant models, which limits its functionality compared with ChatGPT. Nevertheless, it is a valuable alternative, particularly when ChatGPT is unavailable or when a more natural writing style is needed.

Google AI Studio (Gemini in the developer version)

Google AI Studio is a platform designed for developers that enables the use of advanced AI tools completely free of charge.

Key Advantages of Google AI Studio:

  • Transcription of recordings in Polish.

  • Temperature regulation (the models’ level of creativity).

  • Access to genuine fine-tuning.

  • Thorough content search.

Your platform, like OpenAI Studio, supports, among others, creators of chatbots for Messenger and other messaging platforms. It enables advanced chatbot configuration, while the built-in token counter allows you to control response-generation costs.

However, Google AI Studio can also be used for personal purposes, similarly to ChatGPT or Google Gemini. By default, sessions are limited to one million tokens, which is sufficient in most cases.

Google AI Studio Limitations:

  • No Internet access.

  • No possibility of generating images.

Text Search Functions

Google AI Studio excels at mechanically searching through text, for example, finding specific characters, events, or places in a document. In this respect, it outperforms ChatGPT. ChatGPT, on the other hand, is better at analyzing and “understanding” text.

Transcription in Polish

Automatic transcription of Polish recordings is a challenge because most free tools focus on English. Google AI Studio solves this problem by enabling the processing of Polish audio and video recordings.

  • You can upload short videos or audio files – for recordings lasting up to an hour, splitting them into 30-minute segments is recommended, as this speeds up the process.

  • Unlike paid tools such as Sonic.ai, Google AI Studio is free and offers comparable transcription quality.

Thanks to these features, Google AI Studio is a versatile tool worth using both in development projects and in everyday tasks involving text or recordings.

Notebook LM – talk to your notes

Notebook LM is another tool from Google, created to support the learning process. It is simple and intuitive to use – just upload your own notes, documents, PDF files, links to YouTube videos (with subtitles), or websites, and then ask questions based on them.

Although similar features are available in ChatGPT (especially when using the “Projects” option), NotebookLM stands out for its ease of use and additional features. What’s more, it is completely free.

Key benefits of Notebook LM:

  1. Podcast based on notes NotebookLM can create a podcast lasting several dozen minutes in the form of a conversation between two people, based on our sources. Although the quality is not suitable for publication on Spotify or YouTube, the podcasts are pleasant to listen to and can support learning. For now, the feature works only in English, and the generated episodes can be downloaded – it is worth doing so because NotebookLM does not store them.

  2. Flexible Source Management The tool makes it easy to select which sources should be used, eliminating the need to re-upload all materials when focusing on selected sections.

  3. Convenient notes With the note organization feature, you can quickly find important information without having to search through the entire conversation.

NotebookLM is a practical solution for people looking for new ways to process and organize educational materials. With this tool, learning becomes more interactive and tailored to individual needs.

Gamma App: Fast and Impressive Presentations, Documents, and Websites

Gamma App is a modern tool that enables the rapid creation of visually appealing presentations, documents, and websites. All it takes is a short prompt or a longer text (e.g., created in ChatGPT) to achieve a professional result within minutes.

Main advantages:

  • Speed and efficiency: In 5 minutes, you can create something that looks like the result of hours of work.

  • Flexibility: The ability to edit, add elements, and choose styles and image sources (AI or stock photo libraries).

  • Easy publishing: Pages can be published, assigned a custom domain (paid version), or downloaded in PowerPoint format.

At first glance, Gamma App may seem like a clever trick that makes a visual impression. However, behind this effect lies genuine usefulness—the tool works extremely well for everyday tasks such as meeting summaries, prototyping, and creating initial project drafts.

Practical applications:

  • Meeting summaries: After transcribing a recording (e.g., in Google AI Studio) and editing it in ChatGPT, Gamma App allows you to quickly create a clear presentation with key information.

  • Prototypes and mockups: Rapid creation of preliminary versions of designs.

  • Websites: Gamma app is a great help when creating websites. It allows you to quickly obtain a website mock-up (initial design), which significantly speeds up the work. Generally, everything still needs to be created from scratch, but in that case we start with at least some groundwork already in place.

Napkin.ai – a tool for creating illustrations for documents

Napkin.ai is a solution similar to Gamma.app, but focused on generating illustrations for documents. Its main advantage is the ability to choose from created graphics and edit them easily, allowing illustrations to be quickly adapted to your needs.

Key features:

  • Creating and editing illustrations: An intuitive tool enables the modification of graphics, allowing them to be adapted to the document’s style and content.

  • Publishing and integration: Documents with generated graphics can be published directly, but the greatest value comes from transferring these illustrations to more advanced text editors, where they can be enhanced with additional elements.

Napkin.ai is a practical tool that works well wherever personalized and aesthetically pleasing graphics are needed for presentations or documents. It is ideal as support when working in more advanced editing systems.

This solution is not perfect; sometimes the regular internet works better, for example when searching through content using Perplexity.
